Job Description:
JOB SUMMARY:
The Accounts Payable Supervisor will supervise accounts payable
staff, oversee processing and disbursements, and evaluate and
recommend internal controls and procedures; plan, organize, and
manage the day-to-day operations and activities of a decentralized
accounts payable function; and supervise junior level accounts
payable staff, monitor activities, and satisfy reporting
requirements.
RESPONSIBILITIES INCLUDE:
Supervise Accounts Payable Staff:
" Reviews, coaches and trains staff
" Assigns and directs work flow of staff
" Troubleshoots issues and recommends solutions
" Leads automation enhancements
" Arranges and leads team meetings
Processing and Disbursements:
" Provide accurate and timely processing and disbursement of vendor
obligations
" Ensures all disbursements (checks, wires, ACH, etc.) are
correctly managed in ERP system
" Provides guidance relating to processes, procedures, projects and
self-improvement
" Ensures all deadlines are met
Internal Controls and Procedures:
" Periodically reviews existing controls and procedures; makes
recommendations as necessary
" Provides internal control test work / audit requirements to both
internal and external auditors
" Ensures written processes are current
Other Related Duties:
" Assists in all aspects of current AP projects
" Provides assistance to AP Manager on annual 1099 filing
" Performs periodic audits of our vendor data base
" Performs periodic audits of our vendor data base
QUALIFICATIONS:
" Bachelor's degree or an equivalent combination of education and
experience
" Minimum 5 years' experience in Accounts Payable
" Minimum 3 years' experience in supervising
" Fluency in Spanish required
" Must demonstrate outstanding stewardship and relationship
building/management skills
" Knowledge of expansion and maintenance of a P-Card program
" Knowledge of vendor maintenance
" Familiar with W-9s and 1099 reporting
" Excellent interpersonal skills including a professional and
diplomatic demeanor
" Excellent communication skills including written, verbal,
listening, and presentation
" Ability to create new and unique ideas and an entrepreneurial
spirit a plus
" Proficient using standard office software such as Word, Power
point, Excel, Outlook
" Experience in project management, with skills necessary to
interpret what is needed for the success of a project and to create
appropriate schedules for timely delivery
" High level of organizational and time management skills
" Flexibility in competently juggling competing priorities and
changing expectations
" Must demonstrate outstanding judgment and mature business skills
with the ability to establish a strong rapport with senior
management
" Excellent consulting, problem solving, and analytical skills
" Willingness to ask questions rather than just follow directions
is required.
TRAVEL REQUIREMENTS:
" Travel will be approximately 25-35 percent of the time, mainly
within California.
